About MEETVIA
What is MEETVIA?
MEETVIA is an agent portal for insurance agents and agencies, operated by Meetvia LLC in Gilbert, Arizona. Agents book appointments for their clients, and MEETVIA sends the consent text, confirmation, and reminders. After the appointment, the agent logs how it went, and MEETVIA follows up: a thank-you after a sale, and a drip to rebook after a no sale or a no-show.
Who is MEETVIA for?
Individual agents who set their own appointments, and agency owners who want to see every agent’s calendar and numbers in one place. MEETVIA is its own business and isn’t tied to any one carrier or marketing organization.
How is MEETVIA different from Calendly?
Calendly waits for the client to book. In MEETVIA, the agent books the client, usually during the call, and the follow-up is built around what happened at the appointment. No-shows and no-sales get their own rebooking drips, and owners get a master calendar and per-agent numbers.
What plans are there?
Two. MEETVIA Agent is for one agent. MEETVIA Pro Agency adds the master calendar, per-agent analytics, shared meeting types per market, and agency-wide message text for the owner. See features and plans. Pricing is coming soon.
Does MEETVIA give insurance advice?
No. MEETVIA schedules the conversation and sends the messages around it. Coverage is discussed with a licensed agent.
Is there a demo?
Yes. The MEETVIA demo shows the agent portal, what the client sees, and the agency owner’s view, with no login needed. Nothing in the demo books a real appointment or sends a message. The guided walkthrough shows every screen on a computer and a phone.
For agents
How do I book a client?
Tap Book a client. Enter their name and mobile number, pick the meeting type and a time, and choose how to handle consent. It takes about a minute, and it works on your phone while you’re still on the call.
What reminders does the client get?
A confirmation when you book, a reminder the day before, and a text the morning of. You can change the timing of each one in minutes, hours, or days, rewrite the wording, and add your bio. You get your own reminder too.
What happens after the appointment?
MEETVIA asks how it went. Pick Sale, No sale, No-show, or Reschedule. A sale sends a thank-you email with your contact info. A no sale starts a 5-day email drip asking to rebook. A no-show gets one “we missed you” text in 15 minutes with a link to pick a new time, and follow-up emails over 5 days. Reschedule opens the booking screen with the client filled in.
Can I write my own messages?
Yes. Every reminder and follow-up can be edited, with fields like the client’s first name, the time, your phone, and your booking link filled in for you. Each meeting type can also have its own confirmation and reminder text.
Can I run a campaign on old leads?
Yes. Pick an audience, like old leads, past no-shows, or no-sales, choose a short message sequence, and send. Campaigns go by email. MEETVIA texts are only about appointments.
Which calendars does MEETVIA work with?
Google Calendar and Outlook (Microsoft 365). MEETVIA checks them for busy times so you can’t double-book, and adds each new appointment to your calendar with a Zoom, Google Meet, or Teams link when the meeting type uses one.
Can clients still book themselves?
Yes. Every agent has a booking page at meetusvia.com/your-name, and you can send a single-use link. Clients who book themselves check a consent box for texts.
For agency owners
What does the agency owner see?
The Agency overview shows appointments set, held, and closed for each agent, plus show rate and close rate. The master calendar shows every agent’s appointments for the week on one grid. Agency analytics breaks it down by agent, market, meeting type, day, and time.
What is a market?
A group of meeting types, like Mortgage protection, Final expense, Union & association, or Recruiting. Owners set the markets for the agency, and each meeting type can have its own confirmation and reminder text.
Can more than one client book the same time?
Yes. Set seats per time on any meeting type, like 8 for a recruiting night. Each time shows how many seats are left.
Can new leads go to the next open agent?
Yes. A round-robin meeting type sends each booking to the agent with the fewest upcoming appointments.
What can the owner control?
Invite agents, set roles (owner, admin, agent), manage markets, set agency-wide branding and message text, and manage texting and privacy settings.
For clients
Do clients need an account?
No. The client gets a text or email with the time, the place or video link, and links to reschedule or cancel.
How does a client reschedule or cancel?
With the link in their confirmation. Rescheduling keeps the same appointment and frees the old time.
What information does MEETVIA keep about a client?
Name, mobile number, an optional email, the appointment, and the agent’s notes. It never asks for policy numbers, account numbers, or health information.
Texting and consent
Why does MEETVIA send a consent text?
MEETVIA texts a client only after they agree in writing. If they didn’t check the box on the booking page, MEETVIA sends one short text from the agent and the client replies YES. That gives you written consent and a record of when it happened. Texts are only about the appointment: confirmations, reminders, and links to reschedule.
What happens before the client replies YES?
Reminders and follow-ups go by email only. Once they reply YES, texts turn on. If they reply STOP, texts stop for good.
Can I mark consent I already have?
Yes. If the client already gave written consent, like a signed form, you can mark it on file when you book. You’re responsible for keeping that record.
How does MEETVIA protect personal information?
The client record is short, clients don’t need an account, and agents sign in with Google or Microsoft. The Privacy Policy and TCPA disclosure have the details.
Where is MEETVIA based?
